Ensure as admin you know the system inside out. Ensure the system you have selected has already made help guides and a support system. We have used @schoolscloud which has been brilliant. Lots of written support and a dedicated phone line.
Ensure you know how to sync your data from your management information system. We use SIMS. Crosscheck all your colleagues and their classes have transferred over. Then generate log ins for teachers...
Provide a letter and details to parents/Carers with a help guide and ensure you have brief reception and office staff who will field the majority of queries. Provide your details in your letter as a port of call...
Hold a drop in session or two with colleagues to ensure they know how to log in and access their appointments. Get IT to system check and system load check to ensure all on WiFi with cameras in will hold up...
Send reminders to parents to book on and about their appointments. First round you control appointments and waiting lists and you allocate breaks for colleagues. Ensure at least a 15 minute break for colleagues. Allocate a room each and direct time before first meeting...
Some developments for the future meetings. Prioritise teachers in split classes. Prevent parents booking the same teachers more than once to allow equity of appointments. Is 5 minutes enough? Give teachers the admin rights to move appointments from waiting room to their list...
Also- let teachers allocate their breaks. And ensure I let parents know in initial letter that I will send lots of reminders and their appointments via email. Overall a very useful service which streamlines the system and has a great uptake of parents and carers...
You can also prioritise appointments for key groups. You can make the meetings more accessible to families in separate locations. And thinking further or differently. Language barriers can be overcome too.
