how to create an events + mktg calendar for your business đź—“

as somebody who planned community events + handled marketing efforts for a former startup, I ended up creating a master calendar to keep track of everything.
now that I’m back resuming my event organizer duties, I made this calendar to use on the backend to help me stay organized. I was using a google sheets calendar template previously & then decided to switch.
@HubSpot has a social media calendar template that I converted to an events + marketing calendar. it’s a freebie that you can download here: https://offers.hubspot.com/social-media-content-calendar

& it’s color coded so your calendar gonna look all cute or whateva when you add all your content.
the calendar template is a microsoft excel spreadsheet. I uploaded it to google drive which allows you to convert it to a google sheets spreadsheet. I currently use this calendar for @the1099co & for my personal brand.
first thing I did was update the key. this key will vary based on what marketing efforts you keep track of. press releases, newsletters, product launches, events + workshops, social media mktg campaigns, etc. update the colors to reflect your branding or your favorite ones.
next thing, add all your content. if you have a marketing team, you all can collaborate on this calendar to fill it in together to make sure y’all aren’t missing anything. would recommend to utilize this calendar when you’re doing your quarterly planning.
I use the comments feature on google sheets to link copy & add notes on there. for example, if I’m drafting a press release I will add the google doc link on there so whoever is drafting it has quick access to it while they’re using the calendar.
same thing with newsletters. I usually draft newsletter copy in a google doc first before copying/pasting it into mailer lite, flodesk, mailchimp, whatever email mktg platform you use. I then add the link on the calendar.
also, if you’re including social media campaigns in your calendar, you can add on another spreadsheet where you can organize & plan your campaigns. this is an example one where it’s organized based on the quarter.
I also have another spreadsheet that is year at a glance calendar that is broken down into a quarterly calendar too. that’s where I keep track of all upcoming events.
here’s my personal events & marketing calendar that I recently created to keep track of social media posts, blog posts, my newsletter & events. since I plan to post on IG, FB & LinkedIn once a day, I can keep track of it on here & don’t need to create a separate calendar for sm.
if you’re doing multiple posts a day, then it’s best to use a spreadsheet which I also use to draft social media copy for each platform. & that’s it on how to create an events + marketing calendar.
